Booking Terms & Conditions
All holidays in this brochure are operated by the American Institute for Foreign Study (UK) Limited (hereinafter called the Company' or 'we'), registered office 37 Queens Gate, London SW7 5HR, United Kingdom, and are sold subject to the following conditions:
1) To make a booking you must send us a completed Booking Form, signed and dated by you as the parent or guardian of the camper for whom a booking is made.
2) In completing and signing the Booking Form you confirm that you have full authority to do so on behalf of the camper for whom the booking is made. Any particular activity you do not wish the camper to participate in must be detailed by you on the Booking Form.
3) Once a placement is confirmed with a camp and your second payment has been made, each camper will be required to complete camp specific forms. These include a medical statement to be made by a General Practitioner and should detail the camper’s physical suitability for the programme. Each camper will also be required to provide details of dietary requirements, packing lists and a camper profile, and parental consent forms will be required. Please note that forms vary from camp to camp, but in all cases they should be completed and returned to us not less than four weeks prior to departure.
4) Once we have received the complete booking form and a deposit or full payment is paid (as applicable), we will reserve your holiday on the basis of these booking conditions. Your booking will be taken as confirmed in respect of all persons named on the booking and a binding contract between us will come into existence when we send our confirmation to you. Please check your confirmation together with all other documents we send you as soon as you receive them. Contact us immediately if any information which appears on the confirmation or elsewhere appears to be incorrect or incomplete, as it may not be possible to make changes later. We regret we cannot accept any responsibility if we are not notified of any inaccuracies in any document within 10 days of our sending it out. We will do our best to rectify any inaccuracies notified outside these time limits.
5) In completing and signing the Booking Form you agree to your personal information being held, processed and disclosed by us both within and outside the EU. We will apply appropriate security measures to protect this data. However, we must pass it to suppliers of your travel
arrangements including airlines, insurance providers and other relevant providers. We may also supply it to security or credit checking companies, and to public authorities such as government departments, customs and immigration. For the purposes of this clause personal data includes but is not limited to the information supplied on booking forms, medical forms and camp specific forms.
6) Any likeness or image of you secured or taken on any of our holidays may be used by us without charge in all media (whether now existing or in the future invented) for bona fide promotional or marketing purposes, including without limitation promotional materials of any kind, such as brochures, slides, video shows and the internet.
7) Any information or advice provided by us on matters such as permits, visas, vaccinations, climate, clothing, baggage, special equipment, etc is given in good faith but without responsibility on our part, and the camper accepts responsibility for obtaining any necessary visas and travel documents required for the holiday.
Payment Schedule
8) Payments are made in two instalments and the total due and payment schedule will vary according to the camp selected. The total amount payable will be detailed on the Booking Confirmation.
9) This total sum will include all the regular camp services, including activities, instruction, supervision, room and board, camp-approved sponsored group expenses, transportation to and from camp sponsored activities, normal craft materials and laundry services.
10) Generally payments are made as follows: 1st payment £500
2nd payment - balance of total cost should be paid within 14 days upon issuance of booking and flight confirmation.
11) You will not be sent reminders of these deadlines. If you fail to make the payments due by the relevant dates, or any part of them, the entire balance of the total cost will immediately become due and we will be entitled to charge you interest at the rate of 2% per annum above the Bank of England base rate until payment in full is made (a part month being treated as a full month for the purpose of calculating such interest).
12) We reserve the right to pass on any changes to UK or US departure taxes and other departure or flight surcharges imposed on us for the delivery of the holiday.
13) The cost of the holiday does not include any additional charges for optional camp activities, canteen and services, pre departure medical record checks and travel to the departure airport, and these expenses will be the responsibility of the camper.
14) Additional charges may be made for off-camp trips, English language tuition or tuck shop and camp store purchases. Any additional fees relating to a specific camp will be detailed to the parent or guardian on the camp profile pages on the Camp America Summer Camps (CASC) website and will be collected online by CASC.
15) There is a 5% discount per camper when a party of two or more submit completed Booking Forms at the same time.
Insurance
16) For the sale of travel insurance we are an appointed representative of CareMed, which is authorised and regulated by the Financial Services Authority (FSA), FSA Firm Reference Number 493329.
17) Should you not wish to purchase your insurance from us, proof of alternative insurance must be provided with your booking form. An additional administration fee of £30 will be charged and the £80 insurance fee will be deducted from the payment due.
Cancellation and Alteration
18) If you cancel your booking the following cancellation charges will be made: For cancellations made at least 91 days before departure - 1st payment will be forfeit. For cancellations made 90 days or less before departure (or if the camper fails to join the holiday) - 100% of the holiday cost will be forfeit. Please note - camps operate their own payment and cancellation policies and procedures. These will be detailed on your booking confirmation.
19) We strongly advise you to take out insurance against irrecoverable cancellation costs.
20) A general indication is provided in this brochure of the itinerary for each holiday, the type of accommodation used, and what is included in the holiday price. Changes in all of these items may be made at any time.
21) We may occasionally have to cancel your holiday, which we reserve the right to do. However, we promise we will not cancel your holiday after the balance of payment is due unless you have failed to comply with any requirement of these booking conditions entitling us to cancel (such as paying on time) or if we are constrained to do so as a consequence of any concerns arising from the medical statement made by the general practitioner regarding the camper’s suitability for the programme. We will reimburse any monies received if we cancel the holiday as a consequence of the information contained in the medical statement. No compensation will be payable and we will have no liability in circumstances where the holiday is cancelled as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care.
22) We will let you know as soon as we can if we are forced to alter significantly or cancel your holiday.
In these circumstances you can choose one of the following options:
a) accept our offer of a replacement holiday of lower quality (if available), and we will refund the difference in cost; or
b) accept our offer of a replacement holiday of equivalent or higher quality (if available); or
c) ask us for a refund of the money you have paid.
23) Your decision about which alternative you accept must be made as soon as possible after we notify you of the alteration or cancellation of your holiday.

Travel to Camp
24) Unless otherwise specified, flights will normally depart from and return to a London airport. You are responsible for any transport costs to and from the departure airport.
25) We will arrange travel for campers from the departure airport to the camp, and will confirm these arrangements with you.
26) Group flights to the US will be chaperoned by our staff and representatives, who will hand campers over to the camp upon arrival.
27) From time to time, it may be necessary for us to arrange individual flights for campers, in which case the airline’s ‘unaccompanied minor’
programme may be utilized. If this occurs, you will be liable to pay the additional fee charged by the airline.
28) CASC T-shirts will be sent to campers one month prior to departure on holiday. All campers must wear their CASC T-shirts when travelling.
29) We will receive confirmation of the arrival of campers at camp, and will relay this confirmation to you.
30) Camps will take responsibility for campers transportation to camp, and for campers meeting chaperones for the return flight to the UK.
31) Any flights forming part of the holiday arrangements are subject to the conditions of the carrying airline, which in most cases limit the airline's liability to the passenger in accordance with International Law and the Montreal Convention. Copies of the conditions of carriage and of the Convention are available on request.
32) Campers travelling on a UK/EU passport will travel on the Visa Waiver Programme and are allowed a continued stay in the US of up to 90 days. Campers travelling on passports other than a UK/EU passport may require a visa, and it is your responsibility to ensure that such visas are obtained prior to 30th April 2010. Any associated costs are your responsibility.
33) We are a bonded holiday operator licensed by the CAA, ATOL no. 10181. In the unlikely event of our insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid to us for advance booking. Please note that ATOL bonding only applies to bookings made within the UK that include international flights from the UK.
34) CASC work with a number of camps who have been selected to receive international campers. CASC camps are all either accredited by the American Camping Association, or have passed strict health and safety standards for their particular State. CASC does not own these camps. The running of each camp is solely at the discretion of its director. Our Responsibility in respect of Claims Involving Personal Injury or Death.
35) Your booking is accepted on the understanding that you realize the hazards involved in this kind of holiday, including injury, disease, loss or damage to property, inconvenience and discomfort. It is necessary that campers abide by the authority of the leader of any group or individual activities organised as part of the holiday.
36) If you or the camper have any complaint about the holiday, you must make it known to us at the earliest opportunity, normally within 30 days after the completion of the holiday.
37) We are responsible to you for the proper performance of our obligations under the contract irrespective of whether those obligations are provided directly by us, or by third party service providers engaged by us acting within the proper course of their employment. We are liable to you for any damage caused to you by our failure to perform the contract or by our improper performance of the contract, unless that failure is:
a) attributable to you;
b) attributable to a third party unconnected with the provision of the services and are unforeseeable or unavoidable;
c) due to unusual and unforeseeable circumstances beyond our control and which could not have been avoided even if all due care had been taken;
d) due to an event which even with all due care we could not foresee or forestall.
Campers’ Responsibilities
38) All campers will be required to sign the CASC behaviour agreement along with their parents prior to participation in the programme.
a) During the camp season, the camper and his/her parents/guardian agree to abide by the camp rules and regulations for the health/safety/welfare of the campers and camp community.
b) The camp is appointed to serve in loco parentis. Camper may use hazardous equipment, may participate in any activity/trip including horseback riding organized by the camp staff on/off camp grounds and may travel, when deemed necessary by the camp, via the public carrier.
c) Mobile phones are forbidden on camp and will be collected at the start of camp and stored in the camp office for save keeping.
d) Smoking/possession of or use of tobacco/narcotics/liquor/ or other intoxicant or non-prescription drug on/off the camp grounds is expressly forbidden.
e) If ipods or MP3s are found to have unsuitable content/images they will be confiscated for the duration of camp.
f) Camper may not leave camp grounds without the direct permission of the camp director.
g) Violations of these rules or other reasonable regulations will result in dismissal from camp without tuition rebate.
h) The camp and CASC reserve the right to dismiss any camper whose conduct is unsatisfactory or inimical to the camps best interest without a refund of the payments made. If a camper is released for bad behaviour CASC reserves the right to utilize airline ‘unaccompanied minor’ programmes. Additional costs may be incurred and past on to parents for making new flight arrangements to transport a camper home in such circumstances. It is essential that prior to departure parents provide an emergency contact who will be able to meet the camper in the event of early return.
i) COMPLAINTS It is always in our interest to resolve any complaints or problems as soon as they arise. Therefore we have a procedure: you must inform the camp manager or supplier of any complaint either on camp or one of the arranged activities as soon as possible so that we can try to make alternative arrangements. A formal AIFS Complaints Service Report (CSR) must be filled out with the camp director concerned (these forms are available on our website or from the camp director). Please do not wait until you return to the UK or indeed until later on in the holiday before informing us of a problem and filling out a SCR. We regret that we cannot accept liability in respect of any complaints which are not notified entirely in accordance with this clause.
j) We will not pay any refund, compensation or other sum whatsoever or any costs or expenses incurred by a camper if we have to terminate the holiday due to his or her unacceptable behaviour.
Personal Property
39) Camp is not responsible for damage/loss/safety of musical instruments/clothing/personal effects/personal equipment used during the camper’s stay.
40) Camp specifically advises campers not to bring jewellery/cash/valuables to camp – alternatively campers can lock small valuables in the camp office.
Communication
41) In order to assist campers in settling into camp, camps control contact between parent/guardian and camper. You should therefore expect not to hear regularly from you child. Communication procedures differ from camp to camp – some will allow weekly phone calls, some permit email access, while others will ask campers to write letters home each week. Likewise, other than in an emergency situation, parents/guardians will be requested not to contact the camp when in session.
42) Please remember that summer camps are used to dealing with issues such as homesickness and make every effort to ensure that campers settle quickly into camp life and enjoy the time spent at camp.
Brochure Information
Every care has been taken to ensure that all descriptions and facts in the brochure are accurate at the time of printing. We cannot accept responsibility for any changes or misconceptions of the programme and the components that are illustrated. We reserve the right to correct errors or omissions in the brochure. It is your responsibility to double check the details in the brochure are still valid and available. Photographs only relate to a specific destination when captioned. During the lifespan of a brochure certain programmes, services and facilities may also change. We cannot accept responsibility for any facts or opinions published in any third party or suppliers brochures or promotional literature.
Summary of Cancellation Information
Cancellation, Curtailment or Rearrangement Insurance (TC)
The Camp America Summer Camp insurance plan includes Travel Cancellation Insurance, the insurer will pay either Cancellation, or Curtailment or Rearrangement costs, if it becomes necessary to cancel, curtail or rearrange a journey e.g. due to sudden injury or illness.
Insurance cover for Cancellation, Curtailment and Rearrangement begins when a journey is booked, if this policy is in force at the time of booking, or when you purchase this policy.
Definitions for Cancellation, Curtailment or Rearrangement Insurance
Cancellation Costs means costs for unused travel and/or accommodation which you have paid or are contracted to pay and which cannot be recovered from any other source.
Curtailment Costs are reasonable additional travel and accommodation costs necessarily incurred in returning an insured person home provided that:
1. such travel is of a standard no greater than the class of transport on the outbound journey; and
2. the standard of accommodation is not superior to that of the journey.
Immediate Family Members shall mean Your Partner or fiancé(e) or the grandchild, child (including fostered or adopted children), brother, sister, parent, grandparent, step-brother, step-sister, step-parent, parent-in-law, son-in-law, daughter-in-law, sister-in-law, brother-in-law, aunt, uncle, nephew, niece, of You or Your Partner, or anyone noted as next of kin on any legal document. Partner shall mean spouse, civil partner registered pursuant to the civil partnership act or someone of either sex with whom you have been living as though they were your spouse for at least 3 months.
Public Conveyance: air land or water vehicle operated under license for the transport of fare-paying passengers.
Rearrangement Costs shall mean reasonable additional travel and accommodation costs necessarily incurred in returning an insured person home provided that:
1. such travel is of a standard no greater than the class of transport on the outbound journey; and
2. the standard of accommodation is not superior to that of the journey.
Journey Covered
This Insurance Policy covers a single Journey only, during the Period of Insurance
Period of Insurance
Insurance cover begins when a Journey is booked, if this Policy is in force at the time of booking, or when YOU purchase this Policy
Cancellation, Curtailment or Rearrangement
The insurer will pay either Cancellation, or Curtailment or Rearrangement costs up to (see schedule of benefits) for any one journey if it becomes necessary to cancel, curtail or rearrange the journey due to:
1. the death, serious injury, sudden illness, complications in pregnancy or quarantine of persons insured or immediate family members provided that such cancellation, curtailment or rearrangement is confirmed as medically necessary by a physician;
2. a public conveyance being cancelled or curtailed because of adverse weather, industrial action, or mechanical breakdown or derangement;
3. your compulsory quarantine, jury service or subpoena or hijacking of the conveyance in which you are traveling;
4. serious damage making your home uninhabitable;
5. your presence being required by the police following a burglary or attempted burglary at your home
Exclusions
1. Cancellation, curtailment or rearrangement costs where such cancellation or curtailment has not been confirmed as medically necessary by a qualified medical practitioner;
2. if complications in pregnancy occur within 14 weeks of the expected date of delivery;
3. Cancellation, curtailment or rearrangement costs where such cancellation, curtailment or rearrangement results from a medical condition affecting immediate family members if
a) the condition was diagnosed before you bought this policy; and
b) at the time you bought the policy, the diagnosed condition could reasonably have been expected to result in death, serious injury, sudden illness or a sudden deterioration in health.
4. if a strike or industrial action is public knowledge when this policy is taken out or a journey is booked;
5. if an aircraft, sea vessel or train is withdrawn from service on the orders of the recognized regulatory authority in any country;
6. if you are called as an expert witness or if your occupation would normally require a court attendance;
7. if any adverse financial situation necessitates cancellation, curtailment or rearrangement of a journey;
8. any loss, charge or expense due to:
a) a delay in notifying the tour operator, travel agent, or transport or accommodation provider that it is necessary to cancel a booking;
b) disinclination to go on a journey; or
c) prohibitive regulations by the government of any country;
9. a charge or expense paid for or to be discharged with any kind of promotional voucher;
10. if you were aware of any reason, either at the time you booked your journey or at the time you purchased the policy, that might mean you had to cancel that journey.
